Margin divides by PRICE (what stays from revenue?), markup divides by COST (what do I add?). The most expensive arithmetic mistake in small business: pricing 30 percent markup where 30 margin was needed - bleeding quietly on every sale. This guide fixes both formulas permanently, with conversion cheat sheets, break-even math, fee stacks, discount traps, and industry margins from SaaS to tacos. Because pricing is not guessing - it is cost divided by one-minus-margin.
How to use the Profit Margin Calculator
- Enter cost and selling price above.
- Read margin, markup, and profit.
- Adjust price until margin hits target.
Formula
Key concepts, explained
Margin vs. markup: the core
Cost $60, price $100: margin (of price) 40 percent, markup (on cost) 66.7 - both true, different frames. The priciest small-business arithmetic error: charging 30 percent markup where 30 margin belonged - quietly bleeding every sale. Both formulas once, then price confidently.
Cheat: margins divide by PRICE (what stays from revenue?), markups by COST (what do I add?). Investors, banks, and comparisons use margin - markup is buyer slang. Systems divide, targets think margin.
Price formula: cost through (1 minus margin)
Forty percent margin at $60 cost: price = 60 ÷ (1 − 0.40) = 60 ÷ 0.6 = $100. Check: (100−60)/100 = 40 percent. Markup equivalent 66.7. Remember one formula (cost through share!), derive price lists from it.
Reverse for checks: margin = (price − cost) ÷ price. $29 price at $18 cost: (29−18)/29 = 37.9 percent margin, 61 markup. Formula there, formula back.
Markup-margin cheat sheet
Twenty-five percent markup is 20 margin, 50 is 33.3, 100 is 50, 200 is 66.7: print the table below and hang it over registers. Formula: margin = markup ÷ (1 + markup). 150 percent markup (2.5x!) is 60 margin.
Keystone (100 markup = double cost!) is slang for 50 margin. Fashion runs 2.5x (60 margin!), groceries 1.3x. Print cheats, hang them.
Break-even: fixed through unit margin
Course $200, variables $20 (platform+support!) is $180 contribution. Fixed $9,000 (production+ads!): break-even 9,000 ÷ 180 = 50 students. Then ~90 percent margin - scale lives past break-even. Every launch needs this one number BEFORE ads.
Unit margin (price minus variables!) drives break-even math - not gross, not net. Fixed honestly (salaries pro-rata!). Compute the number, then launch.
Discount math punishes thin margins
Ten percent discounts need 25 percent more volume at 40 margin (same profit!): $60 cost, $100 price, $85 after discount ($25 profit instead of $40!) - 40÷25 means 1.6x volume needed. At 20 margin the same discount needs DOUBLE volume. Discount only with traffic plans!
Fifteen percent down: margin 40 to 29.4 ($100→$85 at $60 cost!). Holding $40 profit needs ×1.6 quantity. Decide: only with traffic that delivers. Compute, then discount.
Marketplace fees first, always
$100 sales with $15 fees at $60 cost: 25 percent margin, NOT 40! Subtract fees FROM price, then compute. Amazon (~15%!), Etsy (~13% plus ads!), eBay (~13%!): model fee stacks per product (transaction + payment + fixed + ads!).
Etsy example $30: 6.5% transaction + 3% payment + $0.30 + 12% ads ≈ $6.60 fees - net $23.40 at $12 cost is 48.7% true (not naive 60!). Model every fee.
Free shipping over X pays
Free over $50 lifts baskets (AOV!) through margin: bake $5 shipping into margin (prices +3 percent instead of charging!). Set thresholds above average carts ($35 → $50!). Renegotiate carrier rates yearly.
Price returns in (fashion 30-50%!): 20 percent returns at 50 margin need 40 percent extra sales. Dimension generous policies deliberately. Set thresholds, price returns.
Returns eat margins
Twenty percent returns at 50 margin need 40 percent extra sales to equalize: return shipping + inspection + value loss (open-box!) plus reshipping. Size advisors and charts cut fashion 30 percent. Track reasons (photos? size? defects?).
Free returns are marketing (conversion!), not rights beyond policies on sealed goods. Dimension generosity: generous where margins carry. Track reasons, build advisors.
Keystone and trade slang
Keystone is 100 markup (double cost!) i.e. 50 margin: fashion, jewelry, furniture slang. Triple (200 markup is 66.7 margin!) on luxury add-ons. Think purchase lists in keystone (fast!).
Sellers quote multipliers (×2 is keystone!): $50 wholesale times 2 is $100 retail. Never confuse multipliers with margins! Speak slang, think margin.
Shrinkflation: margin in disguise
Hold prices, cut grams: cereal 750→650g, coffee 500→450, chips 200→175 at flat prices - 5-15 percent margin quietly. Unit prices (per 100g!) unmask: read labels, not packs. Examples: cereal, coffee, snacks.
Antidote: compare unit prices (labels!), archive gram histories (photos!). Recognizing shrinkflation means seeing maker margins. Read labels, collect photos.
Loss leaders on purpose
Bread at $1 (under cost!) pulls traffic to profitable add-ons: knowingly negative, basket math behind it (sizes!). Leader items (bread, eggs, milk!) rotated. Track leader losses (budgets!).
Market gadgets (devices!) lock ecosystems (later purchases!). Weigh customer cost against margins. Place knowingly, track baskets.
Restaurant food cost: 30-percent rule
Thirty percent food cost ≈ 70 margin before staff: $10 dishes may cost $3 in product. Prime cost (product + staff!) max 60-65 percent, or concepts bleed. Track weekly (variance reviews catch leaks!).
Drinks subsidize kitchens (highest margins in-house!): specials rescue surplus into contribution. Costing recipes (weighed!). Track weekly, rescue specials.
Coffee margin: drinks 80-90 percent
$4 lattes at $0.50 product (milk, coffee, cups!): 87 gross - rent/staff eat the rest. To-go versus dine-in (fees/rates!). Specials (pumpkin!) with surcharges. Plant milks (+$0.70!) nearly pure profit.
Beans (kilos $15-25!) against yield (140 cups/kilo!): $0.15 coffee per cup. Compute yields, push specials.
Bakeries and salon products
Bakeries: $0.30-cost rolls at $1 (70 margin!), cakes $1 → $3.50 (70+!). Evening returns (discounted!) priced in. Salon products: 50 margins fund service sides (shampoo $20 → $40!).
Train selling (chairside recommendations!): 10 percent turnover plus at no cost. Private labels (higher margins!). Train, push private.
Contractor rates: wage plus burden plus profit
$30 wages cost $60+ loaded (insurance, trucks, tools, office, downtime!): $85-100 rates are 25-40 margin - fair. Travel separately (flat!). Materials with 10-20 handling (sourcing, warranty!).
Flat versus hourly (risk +15%!). Subcontractor margins (15-25%!). Compute fully, show handling.
Freelancer rates from salary
A $120k-equivalent at ~1,000 billable hours (50% utilization!): $120 plus taxes/insurance/overhead means $160-190 floors. Demand $190+! Utilization first, then rates (full books mean raises!).
Day rates over hours (higher anchors!). Value prices on expertise (fixed with margin!). Know floors, fill books.
Agency margin 20-30 percent
Twenty to thirty percent+ on delivered work healthy; under 15 fragile (too cheap or overstaffed!): quarterly audits (utilization × rate vs. costs!). In-house measured by output, not margin. Fixed projects with buffers (20%!).
Free overtime? Margins lie (add hours!). Freelancer mixes (fixed down!). Audit, buffer in.
SaaS: 90 gross, Rule of 40
Software scales (one codebase, millions of users!): 90 percent+ gross normal, net depends on growth spend (sales, marketing!). Rule of 40: growth plus margin over 40 (30 growth + 15 margin is healthy!). Freemium conversion 2-5 percent free-to-paid.
Churn kills margins (5 percent monthly is half the base yearly!): retention before acquisition. Host costs per user tracked (cloud!). Fix retention, track rules.
Handmade pricing: materials plus hours
Materials plus fees plus hourly rates plus growth profit BEFORE listing: $10 materials + $5 fees + 2 hours at $25 is $65+ (not $20!). Totals shock newbies healthily. Wholesale: half retail ($65 → $32 uncovered? Then no wholesale!).
Etsy search: compare prices, never undercut (races down!). Photos and SEO are margins (free clicks!). Compute fully, test wholesale.
Wholesale: half of retail
Stores pay ~50 percent of retail: $100 products yield $50 - wages, materials, profits must fit. Otherwise direct-only (DTC!). Tiered discounts (10/20/30 units!) computed. Trade exclusivity against margins (never surrender both!).
Minimums (100 units!) financed (prepayments!). Terms (30-60 days!) included. Halve, compute, politely decline.
Market stalls: fees, readers, spoilage
Market fees + reader commissions (1-2%!) + spoilage (weather, breakage!) + travel in margins: hits carry fees and waste, regulars and preorders stabilize tables. Free tastings where margins carry tasting costs (conversion pays generous sampling!).
Cash or card: readers take percents; price lists absorb (cash never subsidizes cards!). Weather plans (tents!). Push hits, collect preorders.
Raising prices: when and how to test
Land after supplier hikes (before margins bleed quarters!): raise one line first, watch volume two weeks. Five-ten percent unnoticed (roundings!), 20 with history better (recipes, service!). Spare regulars (grandfather old terms!).
Prices sit when complaints <5 percent and margins play. Test branches/categories first. One line, two weeks, decide.
Track flagships: one row
One product, one row, monthly: cost, price, margin, quantity, fees - company health in 30 seconds. Silent erosion (supplier +2 percent here, courier +5 there!) visible. Traffic lights (green >40, yellow 25-40, red <25!).
Audit ONE supplier contract monthly for creeping fees (rotation!). Quarterly reviews with accountants. Run rows, mind lights.
Operating leverage (fixed costs)
High fixed costs amplify volume swings: 80 percent fixed means profits explode at +10 percent turnover (and implode at −10!). Know bases BEFORE growth (break-even!). Convert fixed to variable (freelancers not staff!, rent not buy!).
Seasonal businesses: finance fixed in summers (reserves!). Scale order (utilization first, then fixed!). Know leverage, flexibilize fixed.
Razor-blade model: cheap handles, 50+ refills
Cheap printers (lures!), cartridges 50 percent+ margins (subscriptions!): compute lifetime totals (printers $150 + 5-year cartridges $1,500!). Coffee+pods, razors+blades - patterns everywhere. Keep switching costs high (systems!).
Subscription traps (cancellation!) versus convenience: transparency wins long-term (reviews!). Compatibles as spoilers. Compute totals, lock systems.

Burger chains: 6-12 percent royalties plus ad funds OFF gross - 10-15 stays with operators (read financials!). Buy cash flow after fees, not turnover. Territory approval (chains decide!).
Systems sell proven playbooks (training!) with tolls; independents keep full margins with full risk. Compare honestly (5-year totals!). Read statements, buy cash flow.
Insurance and banks: commission and NIM
Agents: upfront commissions (life policies 2-4% of sums!) plus trailing (yearly!). Independents fee-based (hourly rates!) versus commissioned (interests!). Bank NIM (lending minus deposit income, 2-4%!): cycles stretch then squeeze.
Float (premiums invested before claims!): negative costs with profitable underwriting. Ask commissions (transparency duties!). Verify fees, grasp NIM.
Car dealers: margin beyond sticker
Holdbacks (maker refunds!), doc fees, finance reserves, quota bonuses stack invisibly beyond shown prices: dealers earn at invoice price anyway. Levers: quarter-end (bonuses!), demos, outside financing compared.

Common mistakes to avoid
- Pricing on markup percent where margin targets belonged (underpricing every sale).
- Forgetting fees/shipping in costs - marketplaces take 10-15 percent first.
- Averaging margins across products with volume mixes.
- Ignoring tax treatment in cross-border pricing.
Pro tips
- Set margin targets first, derive prices via cost ÷ (1 − margin).
- Recompute after every supplier hike - margins erode silently.
- Bundle low-margin traffic drivers with high-margin add-ons.
